HERO019: BEING RUTHLESS WITH TIME - THE JAMES SCHRAMKO WAY

In Today's Episode You'll Learn: James Schramko is a celebrity in the online community. He's known to be "The Systemization" guy, the person that creates profitable online business in a whip of a wand, and in today's episode you will hear a lot of inside information on how to hack your business to be as successful as James's. When we started this interview, I thought that the main focus will be crating standard operating procedure and putting the creation and maintenance of a business on a conveyer. But there was something much deeper, much more raw and enlightening in our conversation; Honesty. Creating routines and procedures, once you get the hang of it, is easy. Understanding why you are doing it, what's the purpose and making the conscious decision of letting go of some - this is much harder. At some point, James decided to step aside from the hamster wheel, and understand what was his purpose, his motivation. There is no logic in working yourself to death for more money, when all you really want to do is to have time for you family or your surfing. Being honest with yourself means being prepared to understand you are walking in the wrong direction. It also means being ready to pivot, change and re-claim your freedom. Today's Superhero James Schramko is an Australian internet entrepreneur that specializes in building online business... FAST. In 2005, he was working in a car agency, and while he was bringing in a nice income, not much of it was left every month after paying his mortgage, his debt and the cost of being a parent for four children. James made a decision to create his own wealth instead of working all the hours helping someone else create their own wealth. Today, he teaches others how to create their success online through crating an assembly line for business. Piece by piece, James creates systems and procedures that once assembled take a life of their own and function 100% all the time. Hero Q&A 1. Do you have a sidekick? Being the king of systemization, James is a huge believer in buying time. He pays a certain amount of money to someone else to buy their time, and invest that bought time in his business. James starts with creating SOPs, even if only for himself. Then, he delegates them, improves the SOPs and creates a working schedule for the team. Basically, building a team is like building a train and it's rails - once they work with one another, it's only a matter of driving the train again and again on known tracks. Once it works, James steps away from it, allowing the train to run. 2. What's your super power when it comes to getting things done? Creating systems for anything you repeat more than once. Basically, no matter who is going o be doing the task, if you have a standard operating procedure and a schedule for it - it will be done, the same way, with the same quality, every single time. And if you buy someone else's time, that's even better. 3. What is your kryptonite, when it comes to time management? At this point, James is on top of his productivity game. If anything, he feels that allowing himself to cut back a bit on work and enjoy life more is the latest addition to his routine, and it has been proving itself to be a positive one. 4. Name your top secret weapons for gaining time: Google Apps: Inbox is a crucial part in every entrepreneurs productivity, and Google Apps provides you with a great filter and search-ability. ScheduleOnce: Allows you to define time frames for different services you offer and then schedule it effortlessly, while taking time zone differences into account. Rescue Time: Allows you to keep track of how much time you spend on certain things whilst on your computer. 5. What is your biggest secret, the one that helps you get more time? Although a bit old-school, but a simple white-board proves to be a great system to James. He keeps a list of things he wants to pick up on, so when he comes back after another convention or trip, he can hit the ground running. 6. If a genie gave you one extra hour every day for the rest of your life, what would you do with it? It wouldn't make that big of a difference, simply because James doesn't feel that he is short on time. But, if he had to choose he would add it to his personal time. So, either read, surf or sleep. What is your kryptonite, when it comes to time management? When it comes to time management, things take Amy longer than what she'd like to admit. Even if she knows that it'll take her longer, and she'd like to just own her process and timing - her personality won't allow her to do so. 4. Name your top secret weapons for gaining time: Asana - a project management tool that allows you to work with multiple team members located all over the globe. Slack - an instant messaging in certain channels with your team. This tool allows you to transfer all work-related conversations from email to a different palace, as well as divide according to project channels. Planning the day in advance and planning the week on a Friday - this hack allows amy to land on their feet on Monday - to hit the ground running. 5. What is your biggest secret, the one that helps you get more time? Making sure there are pre-made breakfasts ready to go in the fridge! Mason-jar pre-made oatmeal breakfast is thebomb.com! This helps to fuel up in the morning and won't take up any time. 6. If a genie gave you one extra hour every day for the rest of your life, what would you do with it? Working out. HERO014: PROVIDING VALUE & BUILDING REAL RELATIONSHIPS WITH DANNY INY

He has been experimenting the same way with his time management. Recently, Danny has changed the way he manages his schedule. A question he got randomly asked in a conference he attended got him to realize that his optimal working time slot is before lunch, so he has made the necessary changes to make sure that this slot is filled properly, leaving him the rest of the day for meetings, interview and human interaction. 3. What is your kryptonite, when it comes to time management? Getting into rabbit holes. Sometimes, even Danny finds it hard to avoid the activities that he knows he won't be able to NOT get sucked into - like email. Eventually, it all comes down to being more disciplined, and it's a struggle for most people. 4. Name your top secret weapons for gaining time: Productive Inbox: It's a Gmail plugin created by Firepole Marketing, and it helps organize your to-do list according to the changing tasks and depends you have. Boomerang: A Gmail extension that allows to send a message later. Rapportive: A gmail extension that provides you with the social profiles' information of the person you are reading the email from, or writing an email to. My Aqua Notes: Waterproof pen and pencil that allow you to write down the amazing ideas you get in the shower. 5. What is your biggest secret, the one that helps you get more time? Going back to the topic of paying attention, Danny shared a handy little technique: Being the observer that he is, he pays attention to himself, and he knows himself fairly well. He knows, for example, that he has a bit of OCD, and that he needs his desk to be neat and organized. Now, how can he use this quality to save time or to be more effective? Easy-peasy! Danny makes sure he writes his tasks on sticky notes and puts on his desk - his urge will always be to clear out his desk, so eventually he will have to finish the tasks that are written on the sticky note. BOOM! 6. If a genie gave you one extra hour every day for the rest of your life, what would you do with it? Danny believes that much like with Parkinson's law - no matter how many extra hours you get, you'd still do the same things, and he feels that he is fortunate enough to already be doing what he loves, so he would not change a thing for this extra genie-given hour, but rather do extra of the same things. Kimanzi Constable is here to tell you that there is hope; That you don't need to settle, that you CAN live the dream. We will not talk theories or best practices - every advice he has comes from a personal experience of turning a bread delivery guy into a public speaker, published author and a pure inspiration. Today's Superhero Kimanzi has been an entrepreneur his entire life; From the age of 19 he had a business, and lived a life that can be well described as "existing", and nothing more. Due to the lack of business experience and knowledge, soon enough he and his family were in serious debt, and life wasn't looking too promising. In fact, from where he stood - life were pretty much pre-designed with no hope for any change. Having no 'special skills' or a college degree, Kimanzi convinced himself that there was absolutely nothing else he could do, so he continued to limp through life and business, even though it wasn't his passion or desire. Things came to a breaking point in the summer of 2011. He was over $100,000 in debt, his marriage was falling apart, and his children barely knew him because he was always working. He wanted out. He wanted freedom. He took the journal he has been keeping for that entire year, and self-published it. You read correct - he took one of the most private things he had and put it out there for the world to read. And it was a flop. The book sold a whopping amount of 5 copies in it's first 6 months of existence. But he didn't give up. He learned a few things about internet marketing, social media and used some strategies that worked pretty well. He has been bootstrapping himself and his business ever since, and that has led him to become a successful published author, speaker, contributor writer to some of the biggest and most amazing sites out there, loose 170 pounds and move his family to Hawaii. Kimanzi has turned a hopeless mediocre life into the life of his dreams, and today he is here to share how you can do it too! Hero Q&A 1. Do you have a sidekick? While Kimanzi has partners for the different projects he's doing, he doesn't have a permanent sidekick on his side. He admits that the main reason for that is him being a control freak who is afraid to give up the lead, and if you combine it with some bad experience he had with employees back when he was in the bread delivery business you get a recipe for zero trust. However, after all the heroes we had on this show, I think we all know that when you NEED help, you find a way to ask for it - even if you are a true control freak with bad experience with employees. It's all a matter of reaching that point where you understand that it's either getting over yourself and delegating or compromising your business' growth and future. Not everyone reach this point, and Kimanzi certainly hasn't yet - but he does realize that getting help can allow him to work on things that have greater impact and would be a better use of his time and skill. 2. What's your super power when it comes to getting things done? Extreme focus was Kimanzi's choice; Back in the day, when he had a 9-5 job (that never was, actually from 9 to 5) he had to learn to get in the zone whenever he needed to get anything done for his side business - he calls it "hustling mode" - and when he's in it, there is no stopping him. To anyone who is looking to obtain this super-power, Kimanzi's best advice would be to shut down any distractions - notifications, email, tv, and even people. After that it's a matter of commitment and practice! I must admit, though, that after having this talk with him, I believe that Kimanzi's super power is much greater than just the ability to focus at any place and time; He's true super-power is the ability to take the leap of faith and put that first toe in the ice-cold water. Through all his entrepreneurial journey, he has been able to put aside the fear and doubt and dip a toe, just one toe, in the water - and push himself forward. 3. What is your kryptonite, when it comes to time management? Apparently when you have the ability to focus at will, you also need the ability to STOP and get away a bit to balance it out! Getting overboard is something that Kimanzi struggles with, and I think most of us, over-achievers out there, can relate. To my surprise, Kimanzi defined himself as an introvert, and as a result many of his actions as well as reactions to opportunities are dictated by this feature. Thanks to his devotion to the message he's carrying and to the lives that he's changing Kimanzi finds the strength to overcome this on a daily basis, and I must admit that I think he's doing an amazing job in conquering this kryptonite, because hadn't he told me - I would never have guessed this nugget about him. 4. Name your top secret weapons for gaining time: MacBook - Kimanzi switched from PC to Mac last year and he never looked back ever since. This is his #1 most used and most valuable tool, and he's not giving it up. Pandora - music is a big part of his life, and he can not imagine going a day without it. Pandora makes it easy! Kimanzi's wife - Her brutal honesty and determination to push Kimanzi forward makes her, aside from being his beloved spouse, to an amazing 'tool' for productivity and success. 5. What is your biggest secret, the one that helps you get more time? This time, we're going EXTREME! Kimanzi's most outrageous way to keep himself productive was to hire someone to sit with him and slap him every time he got distracted, procrastinated or simply slacked of. SAY WHAT?! :) 6. If a genie gave you one extra hour every day for the rest of your life, what would you do with it? This was an easy one to answer: Spending time with his family, while being completely present and aware to every little detail and conversation going on. HERO012: FROM 0 TO EMPIRE WITH NAVID MOAZZEZ

In Today's Episode You'll Learn: The biggest lessons Navid taught me, and I am passing it on to you through interviewing him, is that life is too short and you need to make the best of it. As simple as that. Navid has been on my radar for some time now. I knew I wanted him on the HERO Edition, but not until we were in the middle of the interview that I finally understood what about Navid was so appealing. Navid is probably the most genuine guest we had so far - he is just like you and me, and he's the living proof you CAN do anything you set your mind on. Navid talked about what he wanted to do with his life for a long time - but he didn't take action. He waited, for something, for someone, for himself. Not until he has experienced a personal loss, did he jump into the water. When he was telling me about his loss and grief, I couldn't help but thinking about the fact that much like him, I didn't take action until I was literally forced into it by the army; I know a little bit too well what Navid is talking about - and I think you do, too. After his brother's death, Navid decided to just go ahead and do it - life seemed way too short to be waiting. He jumped out of his comfort zone and reached out to people that are rock-stars in our (not-so) little community; He didn't have a site, he didn't have a podcast, he has never interviewed in his life - but he asked Pat Flynn for an interview; And got it. This is how Navid Moazzez's legend started, but it's far away from why he is so successful. There are 2 things Navid does best: Creating meaningful relationships Creating Leverage What is so special about Navid, is that once outside his comfort zone, although frightened like the rest of us humans, he makes everything he does about the other person, and not about himself. If you were wondering how a newbie entrepreneur, who has been in business less than a year gets to pull off an amazing summit with the BIGGEST names in the market - the answer is simple: He was there for them first, and did everything in his power to help them. FIRST. But how do you get to the position of being able to offer help to the brightest stars? Is it pure boldness and jumping out of your comfort zone? Of course not. But it all starts with getting the right MINDSET. Navid's life was never the same after stumbling across The 4-Hour Workweek by Tim Ferriss. Having heard much about how some people went on living every moment as an exhilarating experience, he decided to explore living life by feeling alive each second. This became even more true when Navid's younger brother, just 22 years old, passed away in April 2013; it was definitely the worst experience of his life. He then realized even more than before, how precious life is and decided to work extremely hard and explore all the things he is passionate about in order to achieve greatness in business and life. What's your super power when it comes to getting things done? The biggest super-power is to be able to take something that comes naturally to you and create a business leverage out of it. For Navid it was research; He has always been good with in-depth, profound and fast-performed researches. He used this given talent to create interviews that stood out and separated him from the crowd of other interviewers, which led to creating meaningful relationships with the interviewees, who happened to be market leaders. These relationships then led to business growth and success beyond imagination - and everything started with a simple knack for research! 3. What is your kryptonite, when it comes to time management? Being a perfectionist, Navid likes to be thorough with everything he does; In-depth research and articles are a necessity for him, but having the business grow and working pretty much alone it becomes hard to keep the same level of quality as the quantity grows daily. Distractions, even if work-related, are an on-going battle. 4. Name your top secret weapons for gaining time: RescueTime - a tracking tool that allows you to know and limit the time you spend at certain activities and web sites. TwitterFeed - allows you to share content people in your niche share, without spending the time to follow it on busy days. What is your biggest secret, the one that helps you get more time? Burpees!!! Doing the 100-burpees challenge made Navid feel that if he can do this he can do anything, and it was a big push for his motivation, and ultimately his productivity. 6. If a genie gave you one extra hour every day for the rest of your life, what would you do with it? Given one extra hour a day, Navid would spend it surfing. Eventhough currently it's not a big part of his routine, but had he lived near the beach and had the time he would invest it in becoming a professional surfer. Today's Superhero Before launching her coaching practice in 2008, she was in corporate sales managing a multi-million dollar territory of Fortune 500 companies. She wore designer label suits, lived in a penthouse apartment overlooking Lake Michigan, and spent a lot of time in airports and hotels. At the peak of her 12-year-old sales career, she was the youngest member of her sales team. She earned an MBA to match her job title and sextupled her income by the time she reached 30. Even with the whole world in the palm of her hands, she still felt completely unfulfilled. She grew sick and tired of being married to a job that sucked the life out of her. What if it'll take longer What if I can't bounce back this time? - All those are questions that torment her, and while she loves having those super productive and Uber-creative attacks, the crash afterwards is an ongoing struggle. 4. Name your top secret weapons for gaining time: 750words.com - A free-writing app. This is a place for writers or people who want to start creating content on a regular basis to get going by writing 750 words daily. There is a community there as well as an accountability factor, so if you're all about content but don't know how to keep up with it you should definitely give it a go. Notes - wether it's an app on your smart phone or plain old pen and paper - capture your thoughts, ideas and sparks of creativity so that you'll always have them logged. Podcasts - Berni loves podcasts, just because it's a channel where someone else shares something inspiring and amazing that can tach you something new or spark up a creativity ginny within you. Listening to inspiring and interesting podcasts has become a daily routine for her, and she sees the value in it constantly. 5. What is your biggest secret, the one that helps you get more time? WATER! Wether it's a walk by the lake, a shower or just doing the dishes - something about water brings a "yang" to Bern's "ying". 6. If a genie gave you one extra hour every day for the rest of your life, what would you do with it? The extra time Berni would invest in spending quality time with family and friends. Being with loved ones and just having fun is a crucial part of life and she would invest this time in it in a blink of an eye. HERO008: ELIMINATING DISTRACTIONS WITH SAHAF FLAM

In Today's Episode You'll Learn: Sahaf & I talked about how to eliminate distractions, handle work load and delegate like a PRO. This episode is a must-listen to anyone who has ever looked back at their day and said "wait... what did I dod today?". Today's Superhero Sahaf Flam, IQTELL's Marketing Director, is a serial entrepreneur. With a few startups under his belt, and some new ones coming, he is the mastermind behind IQTELL's brilliant technique of gaining companions and allies instead of just users. Being a husband and father while working from home, Sahaf knows a few things about productivity and staying focus. His worst enemy is distractions, and our chat today is focused around eliminating and managing them in your day-to-day life. Hero Q&A 1. Do you have a sidekick? Since Sahaf is a part of a high-tech company, he obviously has people working for him as well as people who's job is to help him directly. Deciding to take a different angle, I asked him if he ever feels he's still struggling with delegation - even after all these years. Sahaf shares that because of the unique structure of their company, and the time they all have known each other and worked with each other, it's easy to know whom you need to address with a certain issue or to who do you delegate this particular task to. The main struggle is to let the task go once you've delegated it. In this case, the best solution consists of three parts: Being very clear about what you are delegating. The worst time waste is when you delegate something, and the person you delegated it to comes back to you with more clarification questions - just eliminate it and there's your time save. Having a good system in place so you can manage all your follow-ups. Use the communication solution best suiting your situation; If the email is getting too long -pick up the phone, it'll be easier, clearer and faster. 2. What's your super power when it comes to getting things done? Since distractions are the biggest struggle for Sahaf, he feels that if he can flip it on it's head and disconnect, make the distractions go away - this is the true super-power for getting things done super-fast. 3. What is your kryptonite, when it comes to time management? Following up on the previous question, distractions as a whole - and the Internet specifically - is the biggest Kryptonite Sahaf deals with. The way to handle it is to disconnect from them completely for the high-focus periods of time, and for the rest of the day just have breaks and fun-time slots built-in to your schedule, making sure you 'get your fix' and can spend most day doing what counts. 4. Exercise - working out 30-60 minutes every day and it'll help your productivity. Having a true MTV rock-star on the show felt exciting and glamorous, but talking to Tim felt like I was having an afternoon beer with my high school bestie. The thing about Tim is that he loves absolutely every single second of every single day of his life; And let me tell you, it's not by accident. Tim works very hard on himself as well as on his environment to make sure his time is invested only in things he does well and is loving - otherwise it's delegated immediately. As entrepreneurs we often believe that we need to have a few crappy years before we can have a choice and live our dream life, but what Tim is talking about is useable in your life starting today - the only thing you need to do is decide if you are up for a life full of things you love doing. Today's Superhero Tim Paige, also known as Time The Paige, is a 29-year-old voice-over artist, entrepreneur, podcaster, speaker, motivator, clarity coach and happiness expert that lives in central New York. Tim is a part of LeadPages, so there are quite a few people around him that allow him to focus on his strengths. In the past, Tim felt that his need in being involved in everything was the biggest struggle he had, but today he is so connected to his communication skills he sometimes gets carried away. Name your top secret weapons for gaining time: Human assistance: There is absolutely nothing like building a true team. Not only because it literally allows you to buy back time, but also because a properly raised team can boost your business above and beyond your wildest dreams. BufferApp: This is a tool Tim uses for scheduling posts on social media. By using this he can avoid social media, and by that decrease the time he spends getting sucked into it. Coffee: 'Nuff said - even the idea of caffeine pumping through his veins gives Tim energy and focus. 5. What is your biggest secret, the one that helps you get more time? This is the question where I understood that Tim is absolutely my kind of guy! Answering this question, he shares that he used to be just like me - waking up and diving right into work. As time passed, he noticed that by doing so, his routines for the rest of the day did not allow a proper fitness workout, so he decided to move it to being his first thing in the morning, and what he found out was that working out in the morning, followed by a great healthy meal, gave him a tremendous boost of energy and focused him for the rest of the day. 6. HERO006: HOW TO WORK 12 HOURS A WEEK OR LESS WITH ARI MEISEL

In Today's Episode You'll Learn: Ari is a legend. Beating Crohn's Disease is no joke, but making a business out of the lessons you learn, now that's a whole different level. In today's episode, you'll learn why systems are the only way to go if you ever want to free yourself from the working shackles and scale up. Systems are huge, but have you ever heard about systems without teams? Ari has a system for everything with no team while working 12 hours or less every week. CRAZY? Nope, just smart. Tune in! Today's Superhero Ari Meisel is literally a superhero -- an inspiration. He is a lot things, and chief amongst them is being an entrepreneur, inventor, triathlete, author, speaker and the co-creator of Less Doing. As an entrepreneur, he started his immersion in business early. By the age of 12, he had created a company website for one of his father's business associates, which became the foundation of Liontex, the company where he had worked and produced over a hundred and fifty websites. After graduating college, he went into property development and bought a group of cigar factories. He spent two years learning how to the construction world works, and eventually founded Arise Development when the project was underway. Arise Development is a company that focuses on rehabilitating dilapidated or abandoned buildings until this day. Then, he started to build green and went on to become a LEED (Leadership in Energy and Environmental Design) accredited professional. That prompted him to create LEED Pro, a green building consultancy. Its blog was picked up by the Princeton Architectural Press, and he was later on offered a book deal -- LEED Materials: A Resource Guide to Green Building. Then, eight years ago, Ari was diagnosed with Crohn's disease, a chronic inflammatory disease of the digestive track. He was required to go through several visits to the hospital and take 16 pills daily. During his lowest point, he decided to make his body stronger by doing a combination of yoga, exercise, natural supplements and nutrition. A survivor, Ari was able to fight back the disease and four months later, was eventually declared free of all traces of it. Since then, he has been able to compete in Ironman France in 2011, been a speaker at several seminars, and did a TED Talk event where he talked about his struggles against Chron's. With his hobby of creating productivity systems and outsourcing tasks, Ari turned this into a popular framework -- Less Doing, More Living. To date, it has become a resource for people who wanted to have more time in their lives, and has spawned a course and books such as: Less Doing, More Living: Make Everything in Life Easier and Optimize, Automate, and Outsource EVERYTHING. He currently focuses on helping people be more effective at everything and advising several companies. Hero Q&A 1. Do you have a sidekick? He basically doesn't have any employees; doesn't have any full-time help of any sort. His wife, an incredible woman, is his biggest support structure and he runs ideas by her, and she pushes him to do better. Most of the things he gets done are automated at this point, however, he used virtual systems for a lot of stuff and uses a company called Fancy Hands, where you can get an on-demand assistant 24/7 (no dedicated assistant) to do tasks for a cheaper fee. Then, he creates a task manual with specific and clear instructions, save that on Evernote, send the instructions to an assistant, have them do tasks like taking an interview file he'd saved on Dropbox and find someone on Fiverr to transcribe it -- everything is automated, even the assigning of tasks. 2. What's your super power when it comes to getting things done? Ari's super power is being incapable of getting stressed by anything anymore. He had basically mitigated his stressors to a point where he not only not get distracted by stress, but can get into a state of flow so quickly when he's doing work that he loves in a very short amount of time. The idea about Parkinson's Law -- "work expands so as to fill the time available for its completion" -- also makes him work faster. He also considers the Pomodoro Technique very effective and is actually based on Parkinson's Law. 3. What is your kryptonite, when it comes to time? Ari's kryptonite is taking time for himself. He feels an enormous guilt when spend less time with his kids. He turned down speaking engagements because he doesn't want to be away from his kids for two days. 4. Name your top secret weapons for gaining time: FollowUp.cc -- an automated email reminder tool that is platform-independent. It is similar to Boomerang. You can schedule emails to be sent at a specific time in the future and you can create email reminders right in your inbox. Evernote -- the external brain you have to have and have to use. It basically serves as a place to put every thought or idea that comes into your head, capture every website or article or video so it's safe, searchable and it's there someday when you need it. A physical thing -- sleep improvement. There are easy ways to improve sleep like blue light from devices like TV, Kindle, cell phones, etc. It disrupts your body's ability to produce melatonin, which is a sleep hormone. The solution is to get a blue-blocking sunglasses from Amazon. The first night you wear those glasses in watching TV or reading emails an hour before sleeping, you'll sleep better. 5. What is your biggest secret, the one that helps you get more time? They have plenty of eggs in the nest and Ari found a way to boil eggs (soft-boiled, medium-boiled and hard-boiled) in just one steaming pot with 3 levels to it. It's a big time saver and makes mornings so much easier. 6. If a genie gave you one extra hour every day for the rest of your life, what would you do with it? Ari probably end up doing more work with that extra hour. He'd probably struggle and do something with his kids but they'd be sleeping or something. He'd also probably get back to martial arts; he's a yellow-belt in Krav Maga. What is your kryptonite, when it comes to time? John's kryptonite is email. He remembers during the early days of EOFire, when he gets 1-3 emails and he answers every single one them, but now, he's getting more than 200 emails a day. He still has this mindset of wanting to answer them all and because of that, he has become addicted to email, which has become a flaw. To help him, he uses Boomerang, an app to schedule responses or sending emails. 4. Name your top secret weapons for gaining time: Boomerang – it’s a tool John uses when he receives an email, reply to it immediately and schedule it to be sent in a few days, so it won't initiate a conversation, which inevitably will eat up more of his time. It also frees up his inbox ScheduleOnce – it allows John to keep his calendar too tight, compact and so efficient. He uses this for scheduling interviews, etc. 5. What is your biggest secret, the one that helps you get more time? It would have to be TextExpander. It helps John save time from typing long texts by using keyboard shortcuts. 6. If a genie gave you one extra hour every day for the rest of your life, what would you do with it? John will just have that extra hour to break away and have an hour of exercise. It can be getting up and going for a power walk; it can be 20 minutes of doing Insanity Workout; it can be going for a jog; it can be doing jumping jacks or pushups -- it can be anything to get the blood flowing, the endorphins going. When she needs to do something and gets it done really fast, she knows that she has to focus on that one thing. She can't have multiple tasks open and can't have her phone next to her; she just needs to zero in on what she's trying to accomplish. 3. What is your kryptonite, when it comes to time? When it comes to time management, Kate still struggles with focus and the ability to just take everything off her plate except for that one thing that she's working on, which is very difficult to do. However, her ability to hone in and focus helps in her time management a ton. An app called Rescue Time, which you can download in your computer, helps her track how she's spending her time. 4. Name your top 3 secret weapons for gaining time: Kate is really big on systems and she believes systems run off from creating plans. She's big on project plans, which could be for either small or big tasks. She believes that it's so beneficial to have a plan in place: giving yourself specific deadlines, breaking down an entire project into smaller pieces so that you have steps that you're taking versus an overwhelming project. Asana. It's a teamwork platform that allows you to start projects and communicate with a team in a single dashboard, create deadlines, attach images, add documents, etc.. Asana has been great for her and their VAs; it helps keep everyone on the same page without wasting time. TextExpander. It's a program that allows you to create hotkeys for words, phrases or numbers that you use over and over again. This might not be a huge time saver, but it generally helps. 5. What is your biggest secret, the one that helps you get more time? Her kitchen timer -- the one she uses when she cooks. Sometimes, Kate brings that back in her office, set it and uses it as her timer instead of using her iPhone. Something in the simplicity of this device allows more focus and the ticking sound has been proven to create a trigger for your mind. 6. If a genie gave you one extra hour every day for the rest of your life, what would you do with it? HERO003: BEING RESOURCEFUL AT ALL TIMES WITH BENNY HSU

Entrepreneur Superhero   Do you feel stuck, want to achieve your goals or want to learn how to make life exciting again? Look no further than Benny Hsu, the creator of Get Busy Living and the host of its podcast. An entrepreneur, blogger, appreneur (iPhone app developer) and podcaster, Benny Hsu followed the ideal checklist of a 'textbook' life by the letter right after he graduated from college: He got a job, bought a house, a car and receives a paycheck twice a month. It looked so ideal, but it was far from it. His life was killing him. Not wanting to waste his 30s just like his 20s, Benny found a way to get unstuck and eventually changed his life. Even with no knowledge in developing apps, Benny took a chance. In August 2011, he wove his way into the app development world with the release of his first app -- Photo 365. Benny admits that he's not perfect when it comes to productivity and has 'superhero syndrome' wherein he feels like he needs to do everything himself, and that's something he needs to work on. Therefore, he really doesn't have a sidekick/assistant even when he's developing apps. He hired a full-time designer to work on a lot of design work though, and he dabbled a bit in outsourcing for projects. However, he also admits that he needs to let other people handle certain parts in his business or life to free up more time for himself. 2. What's your super power when it comes to getting things done? Being resourceful, stop multi-tasking and just focusing on one thing at a time helps Benny get things done quicker. He thinks that thinking about your number 1 priority and doing what makes you the happiest when you finish it a year from now on, will help reach goals and accomplish things. 3. What is your kryptonite, when it comes to time? Benny's biggest struggles are multi-tasking, having too many browser tabs open and other distractions (i.e. phone, iPad, etc.), making him unable to focus. 4. Name your top 3 secret weapons for gaining time: Getting into a routine. For example, in the mornings, he works on his t-shirt business, and if he cannot do anything else in the afternoons, it's all right since he had accomplished something in the mornings already. Use software that will work best for you, like SelfControl or Rescue Time, to help you focus. Meditation -- it helps to bring your focus in and hold it there. 5. What is you biggest secret, the one that helps you get more time? He couldn't think of any at the moment. 6. Entrepreneur Superhero Natalie Sisson - The Suitcase Entrepreneur She's a powerhouse entrepreneur whose fingers is dipped in different kinds of pies, one among them is ultimate frisbee. She's none other than Natalie Sisson. Known as the "Suitcase Entrepreneur", Natalie is an entrepreneur, speaker, writer, blogger and author of The Ultimate Toolkit for the Evolutionary Entrepreneur. She's also an accomplished athlete (body sculpting champion, dragon boat rower, ultimate frisbee player, cyclist, and more), model and TV presenter. After 10 years of working in corporate, her passion for building location independent online business that includes online marketing, social media and innovative technologies available in the world, drove her to leave her homeland (New Zealand) and lived in London for two and a half years. That move was the catalyst that started her traveling around the world and living out of a suitcase while building a successful online business. Because of her love for learning and sharing knowledge, Natalie co-founded a tech company in late 2009. It was during this time when she discovered a significant lack of women entrepreneur and CEOs in the business world. This discovery became her reason to create something that shares her entrepreneurial journey and at the same time, learn from other womenpreneur. So, in April 2010, Natalie's passion in life was turned into a business and eventually rebranded it by December of the same year as The Suitcase Entrepreneur -- a mobile business catering to people who wants freedom in business and have an adventure in life. It consists of nine revenue streams that have been organically grown as a result of her blog growth and brand building, which are all aligned with her business goals. Natalie attracted more audience when she shared the Painted Picture that visually shares her vision of where she wanted her business to be. It has garnered more than 29,000 views and shares all over the world, and had helped people take action and reach their own goals. Since then, half of what she shared in that picture happened. Hero Q&A 1. Do you have a sidekick? Yes, Natalie has several sidekicks in her superpower life. They're awesome and they do all the great work now. When she recorded her podcast or done her video series, her sidekicks made it happen and come to life (i.e. Publishing, formatting, setting up the emails, setting blog posts, etc.). It was a long time coming, but really works now. She's confident that her team is super talented and doing it really well now, which gave her free time to do creative things. 2. What's your super power when it comes to getting things done? Natalie thinks her super power is 'focus'. She's pretty determined that when she says she's going to do something, she gets it done. To do it super fast, she schedules an appointment, an interview or something that sounds like fun so she would have to cram and get that task done. She normally tends to work really well with deadlines that pressure her in a positive way. 3. What is your kryptonite, when it comes to time? Natalie feels like her kryptonite is not much of a struggle anymore because she feels like she let it go a little. "Nothing's perfect, there's never going to have a perfectly managed day and your time is yours to do what you will." So, she becomes a lot more relax on how she spends her time as long as she's spending it doing the things she wants. 4. Name your top 3 secret weapons for gaining time: Natalie uses Asana, a project management tool that personally works great for her and revolutionized how she works. Because everything is done in Asana, it makes her feel in control of the way she's going She also uses Chrometa, a time-tracking tool that tells you exactly where your time's going, how much time you're saving and the way you're spending it. Using it makes it easy to focus on the more important activities. Another one is the app called Freedom, a tool that can block out sites so you can't visit them. It's great when you cannot control yourself enough to check social media and all these things, and you need something to force you to do the work that you like to do. 5. What is you biggest secret, the one that helps you get more time? It's trance music, thanks to Gideon Shalwick, that makes her go on double time and double motivated to get stuff done. She's ultimately way more productive while dancing along the music. 6. If a genie gave you one extra hour every day for the rest of your life, what would you do with it? Natalie loves being outdoors and being near the water, so she would spend that extra hour doing activities like ultimate frisbee, biking, playing volleyball -- whatever makes her happy. Entrepreneur Superhero   What drives Amy Clover?   [caption id="attachment_1606" align="aligncenter" width="533"] Amy Clover of Strong Inside Out[/caption]   Through her multiple lesson-filled experiences, Amy Clover, founder of Strong Inside Out and a fitness instructor, is on a mission to empower and help other people overcome whatever obstacles that are keeping them from creating a better life.   Amy knew what it was like to feel helpless and not in control of her life. She had battled clinical depression and obsessive-compulsive disorder that had almost caused her to take her own life in 2005. This experience might have been a deterrent to most, but clearly it wasn't for Amy. She had overcome it and that's why she's on a mission to help others because there's always hope for a better life.   This mindset catapulted the creation of Strong Inside/Out, an online environment and community that helps inspire, support and challenge everyone to become the best version of themselves, live a thriving life and be healthy inside and out through articles, programs and events.   The concluded 30x30 Project – 45-minute full-body workout that happened in 30 cities across the US and Canada – supported TWLOHA (To Write Love On Her Arms), a non-profit, charitable institution that provides help for those who are struggling with depression, substance abuse, self-injury and suicide – something Amy wished had been there when she needed it back then.   The campaign was so successful that a Strong Inside Out Tour is currently ongoing. The goal of this tour is to help TWLOHA with 50% of bootcamp proceeds.   Hero Q&A   1. Do you have a sidekick?   Last year, during the 30x30 Project, Amy had an assistant for the first 3 months while on tour (which was amazing), but had been on her own up until now. Then, she realized she can't be working alone anymore. As an entrepreneur, it's hard to give up control, but there's a certain point when going after big goals. Therefore, Amy started working with a VA after reaching out to people.   2. What's your super power when it comes to getting things done?   She works best under pressure, and the law applies to putting limits to distractions. This was clearly manifested when she worked in this year's Indiegogo campaign wherein she listed out every step that she needed to do no matter how small it was and just check it out of the list when the task is done. Checking even one thing off the checklist helps fuel her motivation for the next day.   3. What is your kryptonite, when it comes to time?   Amy admits that she had never been good with rejection like most do, and when she receives a rejection, it defeats her for a few minutes.   4. Name your top 3 secret weapons for gaining time:   Saying "no" and realizing that you just can't say "yes" to everything that comes your way.   Every time she puts a piece of content out (no matter what it is), she asks herself how can she give as much value to everybody who's going to come across it.   Putting her goals and everything she's about into helping other people. The more she places her goals kind of outside of herself and succeeding for her, the more successful she believes she's become.   5. What is you biggest secret, the one that helps you get more time?   She always makes sure she gets in 30 minutes of exercise, 5 days a week, no matter what. She feels so different if she doesn't get exercise in a day since exercise really does release the effects of stress, depression and anxiety; it helps her be more productive, clear-headed, focused and retain more information she works on in her day-to-day life.   6.
